Did you know that you can save emails that arrive in Gmail as PDF files? | @DIME At Dime
In the business scene, there are many people who log in to Gmail from both a computer and a smartphone so that they can check it at any time.
In fact, did you know that you can save the content that arrives as an email to Gmail as a PDF file? Settings can be made not only from a computer but also from an Android smartphone, so let's introduce each operation method.
How to save the mail that arrived in the Web browser version of Gmail on your computer as a PDF file
First of all, I will introduce how to save the mail that arrived in the web browser version of Gmail as a PDF file. This time, we will use the Chrome browser on a Windows PC.
Open Gmail and open the email you want to save as a PDF file.
Click the "Print" mark displayed in the upper right corner of the email.
A new tab will be expanded. Click the "Destination" item, select "Save to PDF", and click Save at the bottom.
You can select the save destination and file name, so if you click "Save" after making any settings, the email will be saved as a PDF file in any location.
How to save an email that arrives in the Gmail app on your Android smartphone as a PDF file
Next, I will introduce how to save an email as a PDF file with the Android smartphone version of the Gmail app. This time, we will use the Gmail app updated to the latest version at the time of writing (early October 2021) on the Galaxy S21 Ultra 5G equipped with Android 11.
Open the Gmail app on your Android smartphone and open the email you want to save as a PDF file.
Tap the "..." mark in the upper right corner of the email. Proceed to "Print".
When the print preview screen is displayed, tap the top. A list of available printers will be displayed, so select "Save as PDF". Tap "PDF" on the right side.
The internal storage of your smartphone will be displayed, so select the folder where you want to save the email as a PDF file. Finally, tap "Save" and you're done.
In the case of the Gmail app on the iPhone, it seems that there was a function to save the received mail as a PDF file before, but now (early October 2021) this function is not available.
Formerly, if you select "Print" just like operating an Android smartphone, you could save the PDF file to Google Drive via a service called "Google Cloud Print".
However, support for "Google Cloud Print" will end on December 31, 2020. It is currently unavailable.
When you tap "Print" in the Gmail app on your iPhone, it will be displayed as shown above. There used to be an item for "Google Cloud Print", but it is no longer available.
You can continue to convert Gmail to PDF files on your computer or Android smartphone, so I'd like you to restore this function with the Gmail app on your iPhone or iPad.
How to attach a PDF file to Gmail on your computer / smartphone
From here, let's introduce how to attach a PDF file to an email sent by Gmail for both the Web version of a PC and the smartphone application version.
First, use the web version of Gmail that can be used on your computer to attach a PDF file to your email.
Open the web version of Gmail and click "Create" in the upper left. The operation method is the same even if you reply to the received e-mail.
Among the icons lined up below, click the "Clip (attach file)" icon.
A pop-up will appear and you will be able to access the folders on your computer. Select any PDF file and click "Open" at the bottom right.
With just this, it is possible to attach a PDF file to an email.
You can also attach PDF files on your desktop or folder to Gmail by dragging and dropping.
Next, use the smartphone version of the Gmail app to attach a PDF file to the email you send. There are some differences in the screen between the iPhone version / Android smartphone version, but the basic operation method is the same. This time, I will introduce the operation method using iPhone.
Open the Gmail app and tap "Create" at the bottom right. As with the Web version of Gmail, the operation method is the same for replying to the received email.
Three icons are lined up on the upper right side, so tap "Clip (attach file)" on the far left.
Since you can access the files saved in your smartphone, select any PDF file.
Now you can attach the PDF file to the email.
